When should you use speech-to-text?

Use speech-to-text when audio is the source of useful information and converting it into searchable, editable text saves more work than manual transcription and review.

For teams deciding whether transcription improves a real workflow. · Reviewed 2026-09-29

Good fits

  • Meeting notes and action extraction.
  • Interview-to-content workflows.
  • Searchable support calls.
  • Captions and accessibility.
  • Voice notes that need to become tasks or documents.

Use caution when

Names, numbers, accents, overlapping speakers, or poor audio change the meaning. Medical, legal, financial, and customer records need a review path for material errors. A transcript that looks fluent can still contain a wrong name or number.

The practical test

Take ten representative recordings. Measure word or claim correction, speaker separation, time saved, and whether the resulting text is actually used. Do not measure only transcription speed.
